Action items

Action Items

Capture follow-up tasks in your minutes, assign them with due dates, and track them to done on the Action Items board.

Action items are the tasks your board agrees to follow up after a meeting: "circulate the auditor's report", "arrange a call with legal". In Future Boards you capture them in the minutes, give each one an owner and a due date, and track them on the Action Items page.

Add an action item to the minutes

  1. Open the meeting's minutes. See Minutes.
  2. Where the task came up, type / and choose Action item.
  3. Type a short title for the task.
  4. Choose the Assignee from the space's members. You can search by name.
  5. Set a Due date.

Action items in the minutes become tracked tasks when the minutes are finalised. If they couldn't be created at that point, you'll see a message telling you so.

Track your action items

Select Action Items in the sidebar to open the board. It shows tasks from your space meetings in three columns: Open, In Progress and Done.

  • Choose My Items to see tasks assigned to you, or All Items to see what others are working on.
  • Drag a card to another column to change its status.
  • On a card, change the status from its menu, or tick the checkbox to Mark as done.
  • Select the due date to change it. Overdue items are marked so they stand out.
  • Select the assignee to hand the task to someone else in the space.

If nothing is assigned to you, you'll see "Nothing assigned to you" with a Show all items button. When every task is cleared, the page shows "All caught up".

Reminders and notifications

You're notified when an action item is assigned to you, when its status changes, and when it becomes overdue. Choose how you hear about them under the Action items category in your notification settings. See Inbox and notifications.

Deleted meetings and retention

Reminders stop for action items whose meeting has been deleted. Deleted action items are kept for the retention period your organisation sets, or 7 years if none is set. See Admin and settings.

Commitments linked to decisions

Some organisations can also link commitments to the decisions that created them, shown on a Commitments tab on the space's Decisions page. This feature is turned on per organisation. If you don't see it, contact Future Boards support.
