Mobile App

The Future Boards mobile app is for directors and board members whose organisation uses Future Boards. It lets you read your board papers, keep track of meetings and have your say on decisions from your phone. Your company secretary or board administrator still schedules meetings, builds agendas and publishes board packs on the web.

Sign in

1. Open the app and sign in with the account your organisation invited you to.
2. Use your email and password, or Continue with Google or Continue with Microsoft.
3. If you belong to more than one organisation, choose the one you're working in.

The app has three tabs: Home, Meetings and Account.

See what's happening today

Home shows what's happening today and what's waiting on you: open circular resolutions, meeting decisions while a meeting is in session, open meeting time polls, and documents waiting for your signature. The app updates live, so a new circular, vote, poll or board paper appears within seconds of being sent on the web.

Review meetings and RSVP

1. Go to Meetings and select a meeting.
2. Check the agenda, attendees, time and location.
3. Select Accept or Decline to answer the invitation. Your answer shows on the web straight away.

If the meeting is online, use its join button, such as Join online, to open it in Zoom, Microsoft Teams, Google Meet or Webex.

Read your board pack, even offline

1. Open a meeting with published papers and select its board pack.
2. Read the papers full screen. Zoom in, use the thumbnails to jump between pages, and pick up where you left off.

Papers for your upcoming meetings download in the background while you're signed in, so they're ready when you have no signal. When papers are republished, the app downloads the new version and deletes the old one. Signing out deletes every downloaded paper from your phone.

Vote on decisions and circulars

1. On Home, select a circular resolution or a meeting decision marked Vote needed.
2. Choose For, Against or Abstain.

You can change your vote on a circular until voting closes, and on a meeting decision while the meeting is open. Meeting decisions can be voted on only while the meeting is in session. See Resolutions and voting.

Answer meeting time polls

When someone asks when you can meet, the poll appears on Home. Every option is shown in your own time zone. Choose the times that suit you.

Sign documents

Documents waiting for you appear on Home and on the Signatures screen, grouped into To sign, Waiting for others and Completed.

1. Select a document marked Ready to sign.
2. Select Sign document and follow the same steps as on the web.
3. Once everyone has signed, download the signed PDF from Completed.

Lock the app and manage your account

Go to Account to:

• turn on App lock, so the app asks for your biometrics or device passcode before it reopens
• choose what this phone alerts you about under Notifications
• switch organisation
• Sign out
• Delete account

Push notifications cover things that need you, such as a meeting starting, voting opening, new or updated papers, circulars and signature requests. Tap a notification to go straight to it. If notifications are turned off for Future Boards in your phone's settings, the app tells you. See Inbox and notifications.

Your sign-in is stored securely on your phone.
