Your Organisation and Spaces

How organisations, spaces and roles fit together, and how to create spaces, invite people and manage who can do what.

Everything in Future Boards belongs to an organisation: your company, association or group. Inside it, each board, subcommittee or advisory group gets its own space. A space holds that group's meetings, decisions, documents and signed documents, and has its own members.

A person joins your organisation once, then you add them to the spaces they need. Someone on the main board and the audit committee is a member of both spaces, and sees only those.

Roles

Every person has a role in the organisation and a role in each space they belong to.

Organisation roles:

  • Owner has every admin permission, and can also delete the organisation. You can have more than one owner.
  • Admin can edit settings and manage people.
  • Member can join spaces and use the product within them.

Space roles are Owner, Admin, Member and Observer. Observers can view a space but can't vote, change a meeting's agenda, attendees or tags, or upload documents.

Your organisation can also create custom roles with their own permissions. Custom roles are included in the Core and Pro plans. See Admin & settings.

Create a space

Only organisation admins and owners can create spaces.

  1. Select the space name in the sidebar and choose Create Space. You can also select New Space on the Spaces page.
  2. Enter a Space name, such as *Board of Directors*, and an optional Description.
  3. Select Create space.

The number of spaces you can create may depend on your plan. If you reach your plan's limit, you'll see what your plan includes and a link to compare plans.

Switch between spaces

The Space section of the sidebar shows the space you're working in. Select its name to switch to another space. Each space has these pages:

  • Overview: a summary of the space, including recent meetings.
  • Meetings: upcoming and past meetings. See Meetings.
  • Decisions: resolutions and votes. See Resolutions & voting.
  • Documents: the space's document library.
  • Signed Documents: documents sent for signature. See E-signatures.
  • Manage Space: the space's settings.

On your phone, switch between these pages from the top of the page.

Invite people to your organisation

  1. Open Settings, then People.
  2. Select Invite people.
  3. Enter their Email address and choose a Role: Member or Admin.
  4. Under Spaces & subcommittees (optional), choose any spaces they should join once they accept.
  5. Select Send invitation.

Invitations you've sent appear under Pending Invitations. Use Resend invitation to send it again, even after it expires, or Revoke invitation to cancel it.

To invite someone from outside your organisation to a single meeting, invite them as a guest instead. See Guests & external signers.

Manage a person's access

Owners and admins can do the following from Settings, then People:

  • Change a person's organisation role between Member and Admin.
  • Select Make Owner to make them an owner. You'll be asked to confirm.
  • Select Manage space access to change their role in a space, remove them from a space, or Add to a space.
  • Select Remove member to remove their access to everything in the organisation.

The People page also shows which spaces each person belongs to.

Manage a space

Open Manage Space in the sidebar. Its tabs are:

  • General: change the Space Name and Description, then select Save Changes.
  • Members: select Add Member, choose an organisation member and their Space Role, then select Add Member again to confirm.
  • Roles: adjust what each role can do in this space without affecting other spaces. You can reset a space's roles to the organisation's template at any time.
  • Notifications: change your own notification settings for this space. See Inbox & notifications.

Leave or delete an organisation

In Settings, under Organisation, the Danger zone lets you Leave organisation or Delete organisation.

  • You can't leave if you are the only owner. Make another member an owner first.
  • Only owners can delete an organisation. Deleting it permanently removes its spaces, meetings, votes, files and audit history, and cancels its subscription. You'll be asked to type the organisation name to confirm.
