Admin & settings

Admin and Settings

Manage your organisation's details, people, roles, billing, notifications, retention and audit log from Settings.

Organisation settings control how Future Boards works for everyone in your organisation. Open them from Settings at the bottom of the sidebar. Members can view most settings, but only owners and admins can change them.

Settings are split into tabs. Your personal settings, such as your password and signature, are in your account instead. See Account & security.

Organisation

The Organisation tab holds your organisation's details.

  1. Update the Organisation Name, upload a Logo (PNG, JPG or GIF, up to 2 MB) or pick a Brand Colour.
  2. Select Save settings.

Here you can also:

  • Set your organisation's Time zone.
  • Under Meetings, choose whether to Restrict action items to live/minuted meetings, and set the Invitee lock policy: whether attendees can be added or removed after notice is issued.
  • Use the Danger zone to leave or delete the organisation. See Your organisation & spaces.

People

The People tab lists everyone in your organisation, the spaces they belong to and any pending invitations. Select Invite people to add someone. See Your organisation & spaces for inviting, changing roles and removing people.

Roles

The Roles tab shows what each role can do.

  • Organisation roles are assigned at the organisation level. The built-in roles are Owner, Admin and Member.
  • Space role templates are the defaults applied to every space. When you save a change to a template, it is pushed to existing spaces.

To create a custom role:

  1. Select New role.
  2. Enter a Name and Description, and choose the Permissions the role should have.
  3. Select Create role.

To delete a custom role, select Delete. You'll be asked to choose a replacement role for anyone who has it, so nobody loses access by surprise.

Custom roles are included in the Core and Pro plans. On other plans, the Roles page shows how to upgrade.

Billing

The Billing tab shows your plan, members and seats, usage and invoices. Only owners can manage billing.

  • Plan: select Change plan to switch plans or billing cycle, or Cancel subscription. If you cancel, access continues to the end of the billing period, and you can select Resume subscription before then.
  • Members and seats: seats follow your member count. Inviting or removing a member adjusts your bill, prorated for the rest of the period.
  • Usage: shows what your organisation has used this period, such as seats, spaces, storage and AI credits, against your plan's limits. Select Buy AI credits to add more.
  • Add-ons: optional Guided onboarding and Director training, available on annual subscriptions.
  • Invoices & payment: select Manage billing to see past invoices and receipts and update your payment method in our payment provider's secure portal.

Notifications

The Notifications tab lets you override your own account notification settings for this organisation. Each person chooses their own settings. See Inbox & notifications.

Retention

The Retention tab sets how long deleted records are kept before they are permanently removed. If you don't set a period, deleted records are kept for 7 years. Meeting minutes are always kept permanently.

  1. Select the edit button next to the record type you want to change.
  2. Enter a Retention Period (days). Enter 0 to keep deleted records permanently.
  3. Select Save Changes.

Audit Log

The Audit Log tab appears only for admins. It records the changes made in your organisation, including who made each change and when.

  1. Choose a Resource Type, such as Meeting, Vote or Action Item.
  2. Choose an Action: Create, Update or Delete.
  3. Set a Start Date and End Date if you need to.
  4. Select Apply Filters.

Select Details on an entry to see exactly what changed.

Other settings

Some tabs appear only when the feature is turned on for your organisation. These include Paper standard, Rules, Entities, Integrations, API keys and Webhooks, and an Audit integrity check on the Audit Log tab. These features are turned on per organisation. If you don't see one you need, contact Future Boards support.
